The Village of Lincolnshire is accepting applications for the position of Administrative Assistant for the Police Department. Essential Job Functions:

• Plays a pivotal role in facilitating the day-to-day functions of the Village’s police department, including orders and receives equipment and supplies, prepares monthly invoices for police services, and maintains electronic and paper recordkeeping documents. 
• Works in sync with members of the police department and provides administrative support to other Village entities as needed. 
• Prepares documents for Village Board meetings, provides assistance with budget documents, and maintains confidential police department personnel records. 
• Processes accounts payable biweekly for the department.
• Responds to public inquiries and interprets Village procedures and policies. 
• Handles appointment scheduling to include setting reminders and arranging meeting rooms.
• Oversees data entry for Department members training records.
• Works as the direct contact for liquor license inquiries and preparation for Village Board items.

Qualifications and Conditions:

• Reports directly to the Chief of Police. 
• Requires a high school diploma or equivalent, with five years professional office experience preferred. 
• Familiarity with local records retention requirements preferred.
• Must be highly organized, detailed oriented, able to manage multiple tasks simultaneously, and willing to learn the basic skills required for administrative assistants in other Village departments for cross training purposes. 
• Must have some knowledge of the Microsoft Office suite, specifically Word and Excel. Beneficial experience/qualifications include familiarity with the BS&A enterprise resource planning suite of applications.
• Strong communication skills with a thorough knowledge of correct language, punctuation, and grammar, and their proper application to business forms, letters, and technical records.  
• The successful candidate will be required to pass a background check and drug screen. 
• The Village plans to train the successful candidate to understand the basic functions of a police records clerk as well.
